Job Description

Job Title: Title Clerk
Location: Elmhurst, IL
Department: Finance Department
Reports To: Office Manager or Title Supervisor

We are a rapidly growing global trucking company headquartered in Elmhurst, IL, with operations that mirror many aspects of a dealership — but on a commercial scale. Our business involves high-volume vehicle transactions, financing, leasing, and asset management across multiple states. We manage complex billing, titles, and fleet documentation that require the same attention to detail and compliance as dealership finance departments. If you’ve worked in F&I, title, or billing roles within a dealership and are looking to expand your finance career into a larger, growth-focused company, this is an excellent opportunity to apply your experience in a broader financial operations environment.

The Title Clerk is responsible for managing the vehicle titling and registration process for our fleet. The ideal candidate will bring dealership experience and a strong understanding of title processing, DMV requirements, and vehicle documentation. You’ll play a key role in ensuring accuracy and compliance in all vehicle records and title transactions.

Title Clerk Key Responsibilities:
  • Process vehicle titles and registrations for new, used, and leased equipment
  • Handle title transfers, lien releases, and corrections in accordance with state and federal regulations
  • Prepare and submit title paperwork to appropriate state agencies (DMV, SOS, etc.)
  • Maintain accurate records of titles, registrations, MSOs, and other documentation
  • Work closely with sales, procurement, and fleet departments to ensure timely titling of all vehicles
  • Track and follow up on pending titles and registrations to ensure deadlines are met
  • Respond to inquiries from internal teams and external agencies regarding title status
  • Ensure compliance with DOT, IFTA, and IRP requirements when applicable
  • Assist with fleet audits and provide documentation as requested
  • Identify process improvements and support implementation of best practices
Qualifications:
  • 2–4 years of title experience in a dealership environment is required
  • Knowledge of vehicle title regulations across multiple states (IL and neighboring states preferred)
  • Strong understanding of dealership forms, MSO/MCO processing, and DMV submissions
  • Experience with title processing software or dealership management systems (e.g., CDK, Reynolds & Reynolds)
  • Detail-oriented with excellent organizational and time-management skills
  • Strong communication skills, both verbal and written
  • Ability to work independently and in a team setting
  • Familiarity with trucking or fleet management is a plus, but not required
Why Join Us:
  • Competitive compensation and benefits
  • Work in a stable and growing industry
  • Supportive team and leadership
  • Opportunities for career development beyond dealership work
  • Exposure to the broader logistics and transportation world
